Online Diploma Applications

Beginning in Spring 2008, all diploma applications will be filed online using the Student Information System (SIS). Login to SIS and select the 'Diploma Application' option located under the Student Records menu. Below are some notes about submitting your diploma application online:

• Undergraduates— only Seniors are allowed to submit a diploma application.
  
  
• Graduate Students— you must have submitted an approved Graduation Clearance Form with the Graduate College before you may submit a diploma application. Contact the Graduate College if you are unable to submit your diploma application.
  
  
• Changing your Diploma Delivery Option — you may change your diploma delivery option online through the last day of finals week in your final semester.
  
  
• Changing your Expected Graduation Term — if you have filed a diploma application for a given semester and need to change your expected graduation date, you have the following options:

Steps to Graduation

Planning to graduate soon? In order to graduate in a given semester, you must notify the appropriate offices of your intent to graduate early in the semester as follows:

1. Undergraduates—Check with your College Student Academic Services Office to verify that all degree requirements have been satisfied.

Graduate Students—Submit a Graduation Clearance Form to the Graduate College. Before you may submit a diploma application online via SIS, your Graduation Clearance Form must be accepted and processed by the Graduate College.

2. All students must submit a diploma application to be eligible to graduate. To submit your diploma application, login to SIS and select the "Diploma Application" option located under the "Student Records" menu. Students should file the diploma application for the semester in which they plan to complete all degree requirements. Diploma applications will be accepted until Friday of finals week for the semester. If you would like your name to appear in the commencement ceremony program, your diploma application must be submitted by April 1 (for Spring and Summer graduates) or November 1
(for Fall graduates).

3. Graduate students need to contact the Graduate College for applicable thesis and dissertation deadlines.

4. All correspondence course work (including final exam) must be completed no later than 5:00 PM on the last day of final exams.

5. All grade changes and grades for course work taken at another institution or by correspondence must be received in the Office of the Registrar (322 Student Union) NO LATER THAN 5:00 PM on the second Friday after final exams in your graduating semester. Grades from other institutions must be submitted via an official transcript in a sealed envelope.

6. Make sure all charges on your Bursar account are paid in full and all Financial Aid holds are cleared prior to the end of your graduating semester. The Office of the Registrar will not be able to release official transcripts or your diploma if you have holds on your account.

• Since the University does not hold a Summer Commencement ceremony, students who meet the graduation requirements to graduate at the end of the summer are invited to participate in Spring Commencement. Summer graduates must file their diploma applications no later than April 1st to guarantee their names will appear in the Spring Commencement ceremony program. (Summer graduates names will not appear in the Fall Commencement ceremony program.)
  
  
• If you do not graduate in the semester originally planned, please contact the Office of the Registrar to file a Diploma Application Revocation. You must submit a revocation before you can register for classes in the following semester or file a new diploma application.
  
  

Diplomas

• Diplomas are available to students approximately 6 weeks after their graduation date.
  
  
• All Bursar accounts and Financial Aid holds holds must be cleared before we can release your diploma.
  
  
• If you selected the Express Mailer diploma delivery option, you will need to provide a self-addressed, pre-paid envelope (Express Mail, FedEx, UPS, or DHL) to the Office of the Registrar before graduation. The envelope should be large enough to hold an 8.5 inch by 11 inch diploma.
  
  
• To reorder a diploma, you will need to complete a Diploma Reorder Request. The cost of replacement diplomas is $35.
  
  

Commencement Ceremonies

Commencement cermenonies are held at the end of the Spring and Fall semesters. Students who complete their graduation requirements at the end of the Summer are invited to participate in the Spring Commencement ceremonies. Please refer to the Commencement website for details on the OSU-Stillwater commencement exercises. For information on ordering announcements, academic regalia, and the OSU-Stillwater Graduation Fair, visit the Student Union Bookstore Graduation Information website.

Students who are primarily based at OSU-Tulsa have the option of attending Spring Commencement in Stillwater, attending the Tulsa Spring Commencement ceremony, or attending both. OSU-Tulsa only hosts commencement exercises at the end of the Spring semester.
