It is time to verify and input salary and position information in HRS for FY05. The HRS portion of BDS will begin the last week of April or the first week of May and continue through the end of May.
We request that departments not send Employment Action forms that affect FY05 until after the HRS budget period closes unless they are Board forms.
FY05 Average Fringe Benefit Rates
FY2005 preliminary
average fringe benefit rates are in the process of being reviewed and audited by
the Office of Naval Research.

If your department receives a piece of campus mail for an employee who is not currently working, it may be necessary to do some research and determine the best way to handle the mail. Has the employee separated employment? If yes, a separation EA should be prepared. The mail should be evaluated and determined whether it is important enough to send it on to the terminated employee.
If the employee is on an approved leave of absence, and the proper notifications have been filed with Human Resources, the mail should be evaluated and determined whether it should be sent to the employee.
We would normally recommend that Payroll Advices and Total Compensation Reports be forwarded to employees. However, departments may not wish to forward News You Can Use to separated individuals. You may discard if you have filed the separation notice recently.
It may be important for employees on leave to receive the information in News You Can Use especially if they will only be out for just a short period of time. By sending News You Can Use on to your employees home addresses, you will be keeping them informed of important information that they may need.

HRS TIP: UX1 Master Update for Time Entry
The UX1 Screen in HRS shows users which payrolls HRS is working on and whether the system is available or not. It also tells users which fiscal year they are working in. This is especially useful for labor distribution and as we approach a new fiscal year. See the example below.

The Time section indicates the biweekly payroll (4R19 in this example) that is loaded on the UT screens, the payroll start and end dates and whether the system is locked for input from the users.
The Confirmation section indicates the monthly payroll (1R09 in this example) that is loaded for input of leave on the UC screens, the start and end dates, and whether the system is locked for input. For example, the 1R09 (March) confirmation screens will be available for input to departments through April 7, 2004 (day confirmation is due).
The Labor section indicates the FRS and HRS FY along with the start and end
dates. It will also tell you whether the system is locked for some reason.
The Special Pay section indicates the FRS and HRS FY.
