Keys

  • Keys to your office and to the building are to be checked out from Paula.

  • If the keys are lost or destroyed, you will be asked to pay at least $25 per key for replacement.

  • Keys are to be returned upon leaving the department.

Parking

  • Parking permits can be obtained at the OSU Police Dept., located in the USDA Building on Farm Road.  You will need to take a copy of your EA form.

ID

  • Graduate students will get their picture ID when they enroll at 321 Student Union.

  • Faculty and Staff can get their IDs after the Employment Action form has gone into the OSU computer system.  You must go to 321 Student Union to have your picture taken and receive your ID card.

  Benefits

  • Faculty and Staff who are entitled to benefits must sign up for an enrollment session within 30 days after start of employment.

Flower Fund

  • The department keeps a “flower fund” to pay for flowers, cards, etc. for special occasions, such as births, deaths, hospital stays.  Each person is asked to make a donation at the beginning of the school year.  Any amount is fine; a suggested amount is $3.  Please give your donations to Paula.

  Golden Rules

  • Pick up after yourself in the workroom and other common areas!!

  • Do not take the supplies or equipment in the workroom or off the desks in the main office.  They are there for you to use, but please do not walk off with them!  If you need something, Ann or Paula will be glad to get it for you.

   Beginning of Semester

  • All faculty, staff, and graduate students should give Paula a copy of their schedule (classes taught, classes taking, regular meetings).

  • Inform Paula of any changes in address or telephone numbers.

  • Make sure Paula has a copy of your course syllabus for the office files.

  End of Semester

  • Please copy your grade roll sheets and give them to Paula for the office files.

  Botany Seminar

  • Botany Seminar (BOT 5850) is offered as a course in the spring semester of each year.  Botany seminars will also be held as needed in the fall semesters. 

  • Everyone is required to attend, so do not commit to a class, meeting, or anything else during the Botany Seminar time -- Wednesdays 12:30-1:20 P.M. 

  • The seminars are held in LSE 101.

 Mail

  • Mail is picked up and delivered to/from the main office two times a day: 8:30 AM and 1:30 PM.

  • Campus envelopes are saved and used again and again.  There is an ample supply for your use on top of the file cabinets in the main office.

  • Be sure the Botany Dept. mail code 2212 is on any mail chargeable to the department.

  • Regular size envelopes should have the address in all CAPS with no punctuation.

  • International mail weighing 8 oz. or more must have a customs form attached.

  • FedEx, UPS, or any mail charged to a grant must have a University Mailing Services form attached.  Paula will be happy to type it up for you, or show you how to do it yourself.

  • Personal packages can also be charged directly to your bursar account with a UMS form.

Telephone Long Distance

  • The telephones in the Botany Dept. can only make local calls. 

  • Faculty and Staff may have long distance telephone privileges with the use of an authorization card.

  • Any personal long distance calls should be reimbursed to the department.  Upon receipt of each month’s bill, please indicate which calls are personal and return the list and the money to cover the charges to Paula.

Custodial Services

  • Trash is picked up twice a week -- Monday and Thursday.

  • When you leave for the day, please set the trash cans out in the hallway.

Copier

  • The department copy machine is located in the workroom in 115 LSE.

  • A code must be punched into the copier -- each course and each person has a code. Please see Paula for the code numbers you may use.

  • You may do the copying yourself, or you may have Paula do the copying. Leave the item to be copied (with instructions) either on Paula’s desk or in her in-box.

  • Personal copying is discouraged.

  • All large volume copying (tests, syllabi, etc.) is to be done at the CEAT Duplicating Office, 016 Engineering North, and charged to the dept.

  • All copying for research grants is to be done at the CEAT Duplicating Office and charged to the grant.

  • If you take the copying over to CEAT Duplicating (rather than Paula), you may do the copying yourself or leave it for their staff.  You will also need to fill out an invoice.  An example is included in this packet.

Supplies

  • Please see Paula or Ann for any office supplies that you may need. 

  • Do not get office supplies yourself; if we do not have what you need in stock, we will purchase it through the office supply stores with whom we regularly deal.

  • For ordering class or lab supplies, you will need a purchase order number.  Either Ann or Paula can give you a PO #.  Most stores will take a purchase order number.  However, OSU does not purchase supplies from Hobby Lobby.

  • Turn in all receipts to Ann as quickly as possible after purchasing.

 **Important Note** Personal reimbursements will not be done.  Do not purchase something with your own money.  It will not be reimbursed to you.

Computer

  • Every graduate student has access to a student email system when they are currently enrolled. It is accessible at any computer lab on campus or through the web.

  • Faculty and staff have computer access by

    • Signing a form (see Paula) and

    • Taking Lotus Notes training  (Paula can sign you up for a class.)

  • If you wish to purchase any computer equipment, software, or supplies, please see Paula or Ann first. Most purchases will need approval by the department head.

  • If you have computer problems and need some expert help:

    • call CIS HELP desk for problems with software or Lotus Notes. (x7836)

    • call A&S Technical Services directly or have Paula call them. (x6844)

Computer Room -- 115

  • The computers in room 115 are for student use only.  No faculty, staff, or postdocs are allowed to use them.  These computers are for Botany graduate and undergraduate students, as well as graduate teaching assistants from other departments who are working for Botany.

  • A few rules to follow:

    • Do not save anything to the hard drive (C drive).  Some rare instances may require saving to the hard drive, but only with permission from your instructor/advisor.  Please clear this with Paula.

    • Do not put anything frivolous on the computers.  These are for your class and research work.

    • Do not install any software.  All software purchases must be cleared with Paula and ordered/installed by CIS or A&S Technical Support.

    • Report any problems or supply outages to Paula or Ann.

  Common Lab Rooms

  • If you have anything in a common room, such as the cold room 007, the plant supply storage room 009C, the growth chamber room 022, please put your name on it.  Otherwise, it may get thrown away.

  Dept. Cleanup

  • It is in everyone’s best interest to keep labs and offices neat, organized, and free of useless, non-working equipment.

  • Equipment, supplies, etc. that are not needed or wanted anymore cannot just be thrown away.  Put all the unwanted inventory together in one place, list the unwanted inventory and the location (include the serial numbers and OSU Id numbers), and give the list to Paula.  She will then fill out the required paperwork.  It will be approximately 4-6 weeks before it is removed by Physical Plant.

  • Hazardous chemicals to be removed must be listed on a Chemical Removal Form, signed by Becky Johnson, and sent to Environmental Health Services. Physical Plant will be notified to pick it up.

  • Radioactive materials and waste to be removed must be packaged in a special way, listed on a special Radioactive Chemical Removal Form, and the list sent to the Office of Radiological Safety.  Their office will tag it for removal by Physical Plant.

  • Used fluorescent lights can be put in trash cans or in the dumpster outside LSE.

  • Glass to be discarded should be boxed and taped before putting in the trash.

  Recycling

  • OSU recycles aluminum cans and white paper.  Can recycling containers are at either end of the first floor hallway, and white paper recycling boxes are in the main office, the workroom, and the hallway.

  • Paula recycles newspapers and non-white paper.  There is a box for that in the main office.  Please feel free to put items there for recycling.
